Internal Team & Employment Policy

Purpose & Scope

This policy sets out the internal standards, expectations, and responsibilities for all team members working under Vidari Company Ltd.

Vidari Company Ltd operates multiple products, platforms, and internal units. This policy applies to all team members working across the Vidari ecosystem, including but not limited to:

  • Learn2Apply
  • ShambGo
  • Other Vidari-operated platforms and services

Role of VidariOKP

VidariOKP is the hiring, recruitment, and talent operations unit of Vidari Company Ltd.

All hiring, onboarding, evaluations, and contract reviews conducted through VidariOKP are governed by this policy and by Vidari Company Ltd's employment standards.

Employment & Contract Policy

  • • All engagements with Vidari Company Ltd are governed by written contracts.
  • • Contracts may include:
    • Trial or probation periods
    • Fixed-term engagements
    • Conditional renewals
  • • Contract renewal is not automatic.
  • • Renewal decisions are based on:
    • Performance and consistency
    • Communication and teamwork
    • Management and team feedback
    • Operational needs
    • HR and compliance review

Verbal discussions, encouragement, or appreciation messages do not constitute a contract renewal, promotion, or role change.

Vidari Company Ltd reserves the right to:

  • Renew a contract
  • Renew with updated terms or probation
  • Decide not to renew

Work Hours & Availability

  • • Each role has agreed working hours defined at contract start.
  • • Team members are expected to:
    • Be available during agreed hours
    • Communicate clearly when unavailable
  • • Flexibility (school, personal commitments, remote work) may be considered but:
    • Must be disclosed in advance
    • Must not negatively affect delivery or communication
  • • Any change in availability must be communicated early to management.

Important: Failure to maintain agreed availability without communication may affect performance evaluation and renewal decisions.

Communication Standards

Clear communication is essential.

All team members are expected to:

  • Respond within reasonable time during working hours
  • Provide regular updates on assigned tasks
  • Escalate blockers early
  • Communicate respectfully and professionally

Important instructions, approvals, and decisions must be documented through official communication channels.

Performance & Review Process

Performance is evaluated based on:

  • Quality and timeliness of work
  • Consistency and follow-through
  • Communication and coordination
  • Adherence to assigned responsibilities

Vidari Company Ltd may conduct:

  • Periodic performance reviews
  • Contract renewal evaluations
  • Improvement or probationary reviews where necessary

Where concerns arise, HR may request explanations, set expectations, or apply review conditions.

Confidentiality & Data Protection

Team members are encouraged to raise work-related concerns, questions, or challenges through their immediate supervisor or Operator Manager as a first step.

Escalation to HR should occur where:

  • The issue is not resolved through the immediate supervisor or Operator Manager, or
  • The concern involves confidentiality, misconduct, harassment, data protection, or safety-related matters

This approach ensures timely resolution, clear communication, and fairness, while allowing HR to intervene when necessary.

All team members must:

  • Protect company data, systems, and information
  • Respect confidentiality and data-protection obligations
  • Use access credentials responsibly
  • Avoid sharing internal information without authorization

These obligations continue after contract termination.

Warning: Any breach of confidentiality or data security may result in immediate disciplinary or contractual action.

Compensation & Payroll

  • • Compensation is paid according to agreed schedules and terms.
  • • Payment processing may be subject to:
    • HR verification
    • Compliance checks
    • Contract status
  • • Salary inquiries should be addressed professionally through HR.
  • • Compensation matters must not be used to pressure renewal or influence evaluations.

Code of Conduct

All team members are expected to:

  • Maintain professional behavior
  • Treat colleagues with respect
  • Avoid harassment, intimidation, or misconduct
  • Act in the best interest of Vidari Company Ltd

Disputes or concerns should be addressed through proper internal channels.

Performance-Based Action & Contract Termination

Vidari Company Ltd expects all team members to maintain acceptable standards of performance, availability, and communication throughout their engagement.

Where performance or conduct falls below expectations, including but not limited to:

  • Repeated failure to deliver assigned responsibilities
  • Ongoing communication breakdowns
  • Unavailability during agreed working hours without notice
  • Failure to follow internal processes or instructions

Vidari Company Ltd reserves the right to take appropriate action, which may include:

  • Performance discussions or written warnings
  • A defined improvement or probation period
  • Termination of the contract in accordance with the terms of the agreement

In the event of contract termination, compensation will be processed only for work performed up to the effective termination date, in line with the applicable contract terms and payroll policies. No payment will be made for periods where no work was performed.

All decisions will be handled through HR and documented appropriately.

Compensation Impact of Non-Performance

Vidari Company Ltd compensates team members based on active engagement, delivery of assigned responsibilities, and adherence to agreed working terms.

Where a team member:

  • Fails to perform assigned duties,
  • Is unavailable without notice,
  • Demonstrates ongoing lack of contribution, or
  • Does not meet minimum performance expectations,

Vidari Company Ltd reserves the right to:

  • Pause future compensation associated with unperformed work,
  • Process payment only for work verifiably completed up to the review or termination date, and
  • Proceed with contract suspension or termination in accordance with the applicable contract terms.

No compensation will be issued for periods where:

  • No work was performed, or
  • Work was materially incomplete, abandoned, or non-compliant with agreed responsibilities.

All compensation decisions will be reviewed and documented by HR in line with contract terms and payroll policies.

Company Property & Access

All equipment, materials, credentials, and property issued by Vidari Company Ltd remain the property of the company at all times.

Upon termination of employment or completion of a contract without renewal, team members are required to:

Return all company-issued property, including but not limited to:

  • ID cards
  • Access badges
  • Devices or equipment
  • Documents or materials

Ensure that all company access (systems, accounts, credentials) is properly handed over or revoked as instructed by HR or management.

Failure to return company property or comply with access handover requirements may result in appropriate follow-up actions in accordance with the contract terms and company policies.

Internal Communication, Confidentiality & Project Materials

All work-related communication and materials within Vidari Company Ltd are considered internal and confidential.

Team members are required to:

  • Keep internal discussions, messages, documents, and decisions private
  • Avoid sharing company-related communication with individuals who are not part of the Vidari team
  • Use approved communication channels for company work
  • Exercise discretion when discussing company matters in public or shared spaces

Screenshots & Project Materials

Screenshots or copies of ongoing projects, internal tools, communications, or documents are considered confidential and intended for internal use only.

Team members may capture such materials only for internal work purposes, including:

  • Reporting bugs or technical issues
  • Internal reviews or explanations
  • Documentation approved by management

Team members must not share screenshots or project materials with external parties, on social media, or in external groups without prior authorization.

Any use of internal materials for demonstrations, presentations, marketing, or external communication requires prior approval from management or HR.

Warning: Unauthorized sharing of internal communication or project materials may be treated as a breach of confidentiality and handled in accordance with company policies and contract terms.

Policy Updates & Acknowledgment

  • • This policy may be updated as the company evolves.
  • • Updates will be communicated to staff.
  • • All team members are required to:
    • Read this policy
    • Acknowledge understanding and acceptance in writing

Breaches of this policy will be reviewed by HR and may result in appropriate action based on the nature and severity of the issue.
